Terms & Conditions

1. Acceptance of Terms
By booking a service with Polite Packers & Movers Pvt. Ltd. ("we", "us", "our"), you ("Customer") agree to be bound by these Terms & Conditions. These terms apply to all services including local moving, domestic relocation, office relocation, vehicle transport, and packing-only services.
If you do not agree to these terms, please do not proceed with a booking. These terms are governed by the laws of the State of Maharashtra, India.
2. Booking & Payment Terms
2.1 Quote Validity: All quotes provided by us are valid for 14 days from the date of issue. Quotes are based on the inventory and route declared at the time of survey. Any material change to inventory or route will require a revised quote.
2.2 Booking Confirmation: A booking is confirmed only upon receipt of a signed booking form (or digital acceptance) and the advance payment specified in your quote. Verbal confirmations do not constitute a binding booking.
2.3 Advance Payment: An advance of 20–30% of the total invoice value is required to secure your moving date. The balance is due on delivery before unloading begins.
2.4 Payment Methods: We accept NEFT, RTGS, UPI, and cash. Cheques are not accepted. GST invoices are issued for all transactions.
2.5 Price Lock: The invoice price is locked after the pre-move survey. No additional charges may be levied by our team on moving day unless agreed in writing by both parties in advance.
3. Cancellation Policy
Cancellations must be communicated in writing via email to hello@politepackers.in or via our official WhatsApp number.
3.1 Cancellation more than 48 hours before the move date: Full refund of advance payment, no cancellation fee.
3.2 Cancellation between 24–48 hours before the move date: 10% of the total invoice value will be retained as a cancellation fee. The remaining advance is refunded within 5 business days.
3.3 Cancellation within 24 hours of the move date: 25% of the total invoice value will be retained. Refunds of any remaining advance will be processed within 7 business days.
3.4 No-show or last-minute cancellation on move day: The full advance is forfeited. No refund will be issued.
3.5 Rescheduling: Rescheduling more than 48 hours in advance is free of charge, subject to crew and vehicle availability. Rescheduling within 48 hours will be treated as a cancellation and re-booking.
4. Insurance & Liability
4.1 Transit Insurance: All moves include transit insurance coverage up to the declared value of goods, subject to the terms of our insurance partner's policy. Customers must declare accurate values at the time of booking.
4.2 Claims Process: Any damage claim must be reported in writing within 24 hours of delivery. Claims submitted after 48 hours will not be entertained. A joint inspection will be conducted before goods are unpacked where damage is alleged.
4.3 Excluded Items: We do not assume liability for: currency, jewellery, documents, antiques (unless declared and specifically insured), perishable goods, plants, and items packed by the customer themselves.
4.4 Liability Limit: In the event of uninsured loss, our maximum liability is limited to the lower of the item's depreciated market value or ₹50,000 per item, unless a higher declared value has been accepted in writing.
4.5 Force Majeure: We are not liable for delays or damage caused by events beyond our reasonable control including natural disasters, strikes, government orders, road closures, or civil unrest.
5. Delivery Timeframes
5.1 Local Moves: Local moves within Mumbai, Thane, and Navi Mumbai are typically completed within the same day. Estimated time windows are provided at the time of booking.
5.2 Domestic (Long-distance) Moves: Delivery timeframes for pan-India moves are estimates based on distance and route conditions. Typical transit times range from 2–7 working days. These are not guaranteed delivery dates unless explicitly specified in writing.
5.3 On-Time Guarantee: Where we have committed a guaranteed delivery date in writing, failure to meet that date (excluding force majeure events) entitles the customer to a 10% refund of the total invoice. This is the sole remedy for late delivery.
5.4 Access Requirements: The customer is responsible for ensuring adequate access for our vehicles at both pickup and delivery addresses. Additional charges may apply where access is restricted or requires special arrangements not disclosed before the move.
6. Customer Obligations
6.1 The customer must ensure that all goods declared in the inventory are ready for packing at the agreed start time.
6.2 The customer must ensure that a responsible adult is present at both pickup and delivery addresses throughout the move.
6.3 Prohibited items must not be included in the shipment. These include: explosives, flammable liquids, chemicals, illegal substances, live animals, and government-regulated items.
6.4 Any pre-existing damage to items should be declared and noted on the condition report before packing begins.
7. Dispute Resolution
7.1 Informal Resolution: In the event of any dispute, both parties agree to first attempt resolution through good-faith negotiation within 30 days of the dispute arising.
7.2 Mediation: If informal negotiation fails, the parties agree to submit the dispute to mediation under the Indian Mediation Act, 2023, before commencing legal proceedings.
7.3 Governing Law & Jurisdiction: These terms are governed by the laws of India. Any legal proceedings shall be subject to the exclusive jurisdiction of the courts of Mumbai, Maharashtra.
8. Amendments
We reserve the right to amend these Terms & Conditions at any time. Updated terms will be published on our website with a revised date. Continued use of our services after the publication of amended terms constitutes acceptance of those terms.
