This policy applies to information collected through our website, quote form, WhatsApp communications, phone enquiries, and in-person interactions with our team.

We collect only the information necessary to provide and improve our services:

2.1 Contact Information: Full name, mobile phone number, and email address (where provided).

2.2 Move Details: Origin and destination city, preferred moving date, home/office size (inventory type), and any special requirements you share with us.

2.3 Communication Records: Records of WhatsApp messages, phone call logs (not recordings), and email correspondence related to your booking or enquiry.

2.4 Payment Information: We do not store card details. Payment references (UTR numbers, transaction IDs) are retained for billing purposes only.

2.5 Technical Data: When you visit our website, we may collect standard server log data including IP address, browser type, and pages visited for security and performance monitoring. We do not use third-party advertising trackers.

We use your personal data only for the following purposes:

3.1 Service Delivery: To prepare your quote, assign a Move Manager, schedule your move, arrange transit insurance, and provide GPS tracking updates.

3.2 WhatsApp Notifications: With your opt-in consent, we send booking confirmations, move day reminders, GPS tracking links, and delivery confirmations via WhatsApp. You can opt out at any time (see Section 6).

3.3 Internal CRM: Your data is entered into our internal customer relationship management (CRM) system to record move history and allow our customer service team to assist you efficiently on future enquiries.

3.4 Service Improvement: Anonymised and aggregated data may be used to understand booking patterns, route popularity, and customer satisfaction trends. No individual can be identified from this analysis.

3.5 Legal Compliance: We may retain and disclose data as required to comply with applicable Indian laws, tax regulations, or a lawful order from a competent authority.

We do not sell, rent, trade, or otherwise transfer your personal information to third parties for commercial purposes. Your data is not shared with advertisers, data brokers, or marketing platforms.

We share your data only with: (a) our transit insurance partner, solely for the purpose of issuing your policy; (b) our in-house Move Manager and operational crew assigned to your booking; and (c) government authorities when legally required.

We implement appropriate technical and organisational measures to protect your personal data from unauthorised access, disclosure, alteration, or destruction. These include access controls on our CRM system, encrypted data transmission on our website (HTTPS), and staff training on data handling.

No method of data transmission over the internet is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

Opt-In: By submitting your phone number through our quote form or contact form, you consent to receive WhatsApp messages related to your enquiry or booking. This consent is specific to service communications — not promotional messages.

Opt-Out: You may opt out of WhatsApp messages at any time by replying "STOP" to any message we send, or by emailing hello@politepackers.in with your phone number and the request to stop WhatsApp communications. We will action opt-out requests within 48 hours.

Opting out of WhatsApp does not affect your ability to use our services or contact us by phone or email.

We retain your personal data for a period of 3 years after your last interaction with us (last enquiry, booking, or customer service contact). This period is necessary for warranty purposes, dispute resolution, and compliance with GST record-keeping obligations.

After this period, your data is securely deleted from our CRM and all internal systems. Anonymised aggregated data (with no identifying information) may be retained indefinitely for analytical purposes.

Under applicable Indian data protection principles, you have the right to:

8.1 Access: Request a copy of the personal data we hold about you.

8.2 Correction: Request that we correct any inaccurate or incomplete data.

8.3 Deletion: Request deletion of your data, subject to our legal retention obligations.

8.4 Objection: Object to processing of your data for any purpose other than service delivery.

Our website uses minimal session cookies necessary for functionality (e.g., maintaining form state). We do not use advertising cookies, tracking pixels, or third-party analytics scripts that profile your behaviour for commercial purposes.
